Facilities & Assets Coordinator – Flinders Medical Centre, Adelaide. 
About the Role: 

Our client is seeking an experienced Facilities & Assets Coordinator to play a key role in supporting facilities maintenance across the AGFMA Health Portfolio. This is a dynamic and hands-on position that requires a high level of organisation, problem-solving skills, and the ability to coordinate multiple tasks efficiently.
As the first point of contact for both internal and external stakeholders, you will be responsible for overseeing operational processes, maintaining compliance, and ensuring the smooth delivery of maintenance services. Your contribution will be critical in ensuring a well-managed, safe, and efficient facility.

Key Responsibilities, Operational Support & Coordination

  • Provide on-site support to the broader AGFMA Health team.
  • Oversee and manage work orders, ensuring timely completion and compliance.
  • Act as the primary liaison between operational teams, contractors, and support functions.
  • Ensure contractors are compliant with Rapid Global standards and manage site access, permits, and security.

Administration & Reporting

  • Maintain and update AGFMA records and databases.
  • Prepare and deliver monthly and annual reports (e.g., Infection Control, Food Services, Compliance).
  • Organise and document operational meetings, ensuring accurate record-keeping.
  • Manage facility SharePoint files, email inboxes, and document control.

Stakeholder Engagement & Compliance

  • Coordinate contractor sign-ins, key/swipe card distribution, and daily audits.
  • Monitor Priority 1 and 2 work orders, escalating issues where required.
  • Follow up on outstanding breakdowns, rejected/disputed work orders, and client inquiries.
  • Support the Facility & Assets Manager and Senior Facility & Assets Manager as needed.

What We’re Looking ForExperience & Qualifications

  • 3-4 years’ experience in facilities management, maintenance coordination, or a related field.
  • Strong administrative and organisational skills with intermediate proficiency in MS Office.
  • Trade background preferred, but not essential.
  • Experience in project management and workflow optimisation.
  • Ability to adapt in a fast-paced, high-pressure environment.

Essential Requirements

  • Police Check & Working with Children Check required.
  • Australian Citizens preferred, but open to candidates with full working rights
