The Opportunity

Our client is seeking a Project Administrator to provide essential administrative and operational support within a fast-paced program environment. This role will support the broader delivery and management teams, while also providing backup assistance to finance administration where required.

Key Responsibilities

  • Coordinate governance and delivery meetings, including preparing agendas, issuing invitations and recording minutes
  • Collate documentation and manage action logs and decision registers
  • Maintain governance schedules and ensure documentation is uploaded and stored correctly
  • Coordinate monthly reporting inputs across the management team
  • Provide general team administration support, including maintaining organisational charts
  • Manage shared inbox correspondence and respond to enquiries as required
  • Support office operations, including consumables, catering and general office coordination
  • Assist with event coordination such as team functions and meetings
  • Coordinate goods receipting and invoice processing where required
  • Support site and depot coordination, including cleaning and visitor management
  • Assist with warehouse inventory and logistics support
  • Provide calendar management and coordination of site visits for delivery teams
  • Support claims processing and other ad hoc administrative tasks

About You

  • Previous experience in a project administration or office support role (essential)
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience using SAP (intermediate level)
  • Proven ability to work in a fast-paced, high-volume environment
  • Strong organisational and time management skills
  • Excellent communication and stakeholder engagement skills
  • Ability to work both independently and collaboratively
  • Flexible, adaptable and proactive approach

Desirable:

  • Qualification in Business Administration or a related field
  • Understanding of Accounts Payable and Receivable processes

Additional Requirements

  • Current driver’s licence (required for occasional travel between sites)

Work Environment

  • Office-based role 
  • Easily accessible via public transport 
  • Standard business hours (38 hours per week)
